Refund Policy

This policy applies to refunds of institutional charges to students who withdraw, drop out are expelled or otherwise fail to complete a program on or after the first calendar day of the class of the enrollment period for which they are charged. "Institutional charges" means tuition, fees, room, board and other educationally-related charges assessed the student by the institution.

Each institution shall adopt a written procedure to comply with requirements of federal law and implementing regulations and this policy concerning refunds to students and the Return of Title IV Funds. The written procedures shall include the allocation of refunds and unearned aid in the order specified by law. The information must be made available to current students and to prospective students (individuals who contact the institution to request information concerning admission) prior to the earlier of a student's enrollment or the execution of the student's enrollment agreement. The information shall include the procedures a student needs to follow to withdraw from the institution and the policy with which the institution is required to comply for the return of unearned institutional charges paid to the institution and a summary of the requirements for the return of Title IV grant or loan assistance and provide that refund.

Institutional charges shall be refunded according to a schedule approved by the Chancellor that provides for a percentage refund which approximates the amount the institution must return to the Title IV financial aid programs.

Institutional refunds shall be used to reimburse Title IV financial aid only. If the amount of a student's institutional refund is less than the total amount the institution is responsible for returning to the Title IV financial aid programs, the student is responsible for the difference.

In addition: No administrative fee shall be charged.

Students who totally withdraw from a regular term within 8.999% of the calendar days for a class, shall receive a 100% refund of tuition and fees. (Students who drop classes thru the drop process, will be refunded thru the 8.999% point of the class. Withdrawals are only processed on the currently enrolled classes at the time of the withdraw.) Withdrawals are processed the date the withdrawal is submitted by the student online.

Students with a room contract who withdraw will receive a refund prorated up to the sixty percent point of the enrollment period according to a schedule approved by the Chancellor. Students with a board contract who withdraw will receive a refund of the board contract amount according to a schedule approved by the Chancellor.

Allocation of unearned aid shall be consistent with federal law. Any balance after allocation to sources of aid and payment of the student's accounts shall be returned to the student.

Any student who finds it necessary to withdraw during the term for reasons beyond the student's control may request that the tuition and fee refund schedule be waived. The chief financial officer (or designated representative) is authorized to determine, consistent with applicable federal law, the amount of the refund in such cases.

This refund policy shall not apply to deposits which may be subject to forfeiture under housing contracts or program admission policies.

Student who drop a class prior to the completion of 8.999% of days passed out of the total number of days scheduled for the class will receive a 100% refund of tuition and fees for the credit hours attributable to the class dropped. After the 8.999% of the scheduled calendar days of the class which is dropped, no refund shall be made for the class dropped.

Students wishing to drop a class or withdraw from all classes once a class has been complete and/or graded will be required to follow through with policies/procedures at the campus they are enrolled in.

Students dropping and adding classes equivalent to the same number of credit hours and tuition/fee charges can be swapped with credits and dollars equal to the dropped class at no additional tuition and fee charge within the first 14 days after the class is dropped. If adding classes results in an increase in credit hours, change in tuition charged, or a class fee the student will be responsible for the additional charges. If a student adds a class not equal to the credits or dollars dropped the student will be responsible for any costs due to the class change. (Example: dropping a class of 3 credit hours and adding a 2 credit hour class, will result in charges for the 2 credit hours added.)

REFUND SCHEDULE

WITHDRAWALS - total withdrawal of classes enrolled in at the time the withdrawal is processed.

  • 100% Refund - up thru 8.999% of the class
  • 75% Refund - from 9.0% thru 34.999% of the class
  • 50% Refund- from 35,0% thru 59.999% of the class
  • 0% Refund-From 60.0% thru 100%

Students are not able to totally withdraw from college if a shorter term class they are enrolled in for the current semester has been completed. If any class has been completed this would be considered a partial withdraw and the student is able to complete a partial drop thru Campus Connection, signing in with their userid and password.

(To withdraw totally from class(es) students are required to fill out and submit online the Withdrawal to Zero Credits Form. The withdrawal date and refund will be the date the initial form was submitted to the Student Records Office. It is the student's responsibility to make sure all transactions are completed. Students can view there account and class schedule on-line at anytime to verify all transactions are complete.)

Students are not able to totally withdraw from college if a shorter term class they are enrolled in for the current semester has been completed or is near completion. If any class has been completed this would be considered a partial withdraw and the student is able to complete a partial drop thru CampusConnection, signing in with their userid and password.

Partial Drop-

  • 100% Refund- up to 8.99% of the class
  • 16 week class - approximately the first 11 calendar days- must be dropped by 11:59p.m. CST
  • 8 week class - approximately the first 4 calendar days-must be dropped by 11:59 p.m. CST
  • 10 day class - approximately the first day of the class- must be dropped by 11:59 p.m. CST
  • 5 day class - must drop prior to Midnight the day before class starts.

Students cannot drop a class after a class has been completed.

(It is the student's responsibility to drop classes online through CampusConnection by signing in with the student userid and password. Refunds on partial drops will be calculated at the time the student drops the class online according to the refund schedule.
